Terms of Service

These terms explain the rules for using ExpiryVault, how subscriptions and free trials work, and what each of us is responsible for. Please read them — especially the sections on subscriptions and liability.

1. Agreement to these terms

These Terms of Service ("Terms") are an agreement between you and the operator of ExpiryVault ("ExpiryVault", "we", "us"). They govern your use of the ExpiryVault Android app, the website at expiryvault.app and related services (the "Service"). By creating an account or using the Service, you agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Service.

2. Eligibility and your account

  • You must be at least 13 years old, or the minimum age of digital consent in your country if higher. If you are under the age of majority where you live, you may use the Service only with the involvement of a parent or guardian.
  • You must provide accurate account information and keep it up to date.
  • You are responsible for keeping your sign-in credentials and your device secure, and for activity that happens under your account. We recommend enabling a device screen lock and the ExpiryVault biometric lock.
  • Tell us promptly at support@expiryvault.app if you believe your account has been compromised.

3. The Service

ExpiryVault lets you store records of important documents and subscriptions, track their expiry and renewal dates, and receive reminders. Some features are available on the Free plan and others require a paid Pro or Family subscription, as described in the app. We may add, change or remove features over time. If we remove a significant paid feature during a subscription period you have paid for, we will let you know and, where required by law, offer a remedy.

4. Reminders and your responsibility

ExpiryVault is an organisational tool designed to help you remember important dates. It is not a substitute for checking official sources, and it does not renew, replace or validate any document or subscription for you.

  • You are responsible for the accuracy of the dates and details you enter or confirm, including those suggested by AI scanning.
  • Reminders depend on factors outside our control, such as your device settings, battery optimisation, notification permissions, connectivity, email filters and third-party delivery services. We cannot guarantee that every reminder will be delivered or received on time.
  • You remain responsible for renewing your documents, policies and subscriptions, and for meeting any deadlines or requirements set by issuing authorities, insurers, landlords, travel carriers or other third parties.

5. Plans and subscriptions

ExpiryVault offers a Free plan and paid Pro and Family subscriptions. Paid subscriptions are sold as in-app purchases through Google Play and are billed to the payment method on your Google Play account. Prices are shown in the app in your local currency before you confirm a purchase, and may include applicable taxes. Your purchase is also subject to the Google Play Terms of Service.

Your subscription unlocks paid features for the ExpiryVault account you are signed in to when you purchase. We use RevenueCat to confirm and manage subscription status.

6. Free trial

  • Pro and Family may include a 7-day free trial. Eligibility is determined by Google Play and is generally limited to one trial per Google account and per product.
  • You will not be charged during the trial.
  • If you cancel in Google Play before the trial ends, you pay nothing.
  • If you do not cancel before the trial ends, your paid subscription starts automatically and Google Play charges the subscription price shown to you when you started the trial, for the billing period you selected.
  • If you cancel during the trial, Google Play may end your access to paid features when the trial period ends.

7. Auto-renewal

Paid subscriptions renew automatically at the end of each billing period (for example, monthly or yearly) at the then-current price, and Google Play charges your payment method on or shortly before the renewal date, unless you cancel before that date. By starting a subscription or trial, you authorise these recurring charges until you cancel.

8. Cancellation

You can cancel at any time through Google Play:

  1. Open the Google Play Store app on your Android device.
  2. Tap your profile icon, then Payments & subscriptions → Subscriptions.
  3. Select ExpiryVault and tap Cancel subscription, then follow the instructions.

You can also cancel on the web at play.google.com/store/account/subscriptions. When you cancel, you keep paid features until the end of the billing period you have already paid for; you will not be charged again.

Uninstalling the app or deleting your ExpiryVault account does not cancel your subscription. Subscriptions are managed by Google Play, so please cancel there to stop future charges.

When a paid subscription ends, your account moves to the Free plan. Your stored documents are not deleted, but paid features stop working and Free plan limits apply.

9. Refunds

Because payments are processed by Google Play, refunds are handled in accordance with Google Play's refund policy. You can request a refund through Google Play. Except where required by applicable law, payments are non-refundable and we do not provide refunds or credits for partial billing periods or unused features. Nothing in these Terms limits any rights you have under consumer protection laws that cannot be waived.

10. Price changes

We may change subscription prices. Google Play will notify you of any price increase for an existing subscription in advance and, where required, will ask you to accept the new price before it applies. If you do not agree to a price change, you can cancel before it takes effect.

11. Family plans

  • A Family subscription is purchased by one person (the "organiser") and can be shared with up to 5 people in total, including the organiser, using the invitation feature in the app.
  • A Family plan shares the subscription, not anyone's personal documents. Each member's personal vault stays private. Items you add to the shared family vault are visible to all members of that family group.
  • The organiser is responsible for paying for the subscription and for managing membership. Members may leave a family group at any time; the organiser may remove members.
  • If the Family subscription ends or a member leaves or is removed, that member's access to Family features ends. Their personal vault remains in their own account; they lose access to the shared family vault.
  • Only invite people you trust, and only add documents to the shared vault that you are entitled to share.

12. Your content

You keep all rights to the documents, files and information you add to ExpiryVault ("Your Content"). You give us a limited, worldwide, non-exclusive licence to host, store, copy, process, transmit and display Your Content only as needed to operate and provide the Service to you — for example, to sync your vault, generate reminders, run AI features you use, and share items when you choose to. This licence ends when Your Content is deleted from our systems, as described in the Privacy Policy.

You confirm that you have the right to store and, where applicable, share Your Content, including any documents that belong to other people such as family members. We do not claim ownership of Your Content and we do not use it to train AI models.

Please keep your own copies of original documents. ExpiryVault is not an official record, and we recommend you do not rely on it as the only place a document exists.

13. AI features

AI document scanning and the AI document assistant generate suggestions automatically and may be inaccurate or incomplete. Review every result before saving or relying on it. AI output is provided for convenience only and is not legal, immigration, financial, insurance or other professional advice.

14. Acceptable use

You agree not to:

  • use the Service for any unlawful purpose, or to store or share content that is illegal, fraudulent or infringes anyone's rights;
  • upload documents belonging to another person without their permission or a lawful basis to do so;
  • create, store or share forged, altered or counterfeit documents, or use the Service to commit identity theft;
  • upload malware or content designed to disrupt or damage systems;
  • attempt to access another user's account or data, or bypass security, rate limits or subscription checks;
  • reverse engineer, decompile or scrape the Service, except where the law expressly permits it;
  • resell, sublicense or share a paid subscription beyond what the plan allows;
  • use the Service to harass, abuse or harm others, including through sharing features.

15. Third-party services

The Service relies on third parties, including Google Play for purchases, Clerk for authentication, RevenueCat for subscription management, and providers for hosting, AI processing, notifications and email. Your use of third-party services may be subject to their own terms. We are not responsible for third-party services we do not control, but we choose our providers carefully and require them to protect your data.

16. Our intellectual property

The Service, including the app, website, design, logos and the ExpiryVault name, is owned by us or our licensors and protected by intellectual property laws. Subject to these Terms, we grant you a personal, non-exclusive, non-transferable, revocable licence to use the app on devices you own or control for your personal or internal business use. If you send us feedback, we may use it without obligation to you.

17. Suspension and termination

You can stop using the Service and delete your account at any time. We may suspend or terminate your access if you seriously or repeatedly breach these Terms, if required by law, or to protect users or the Service. Where reasonable, we will give you notice and an opportunity to export your data first. If we terminate your account without cause, we will provide a pro-rata refund of any prepaid subscription fees where Google Play permits it. Sections that by their nature should survive termination (including 12, 13 and 18–23) will survive.

18. Disclaimers

To the maximum extent permitted by law, the Service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, non-infringement, and that the Service will be uninterrupted, error-free or that reminders will always be delivered. Some jurisdictions do not allow certain warranty exclusions, so some of the above may not apply to you.

19. Limitation of liability

To the maximum extent permitted by law:

  • we are not liable for any indirect, incidental, special, consequential or punitive damages, or for loss of profits, data, travel, bookings, insurance cover, employment or other opportunities, arising from your use of or inability to use the Service — including any consequences of a document, policy or subscription expiring or renewing, or of a reminder not being delivered;
  • our total liability for any claim relating to the Service is limited to the greater of (a) the amount you paid for the Service in the 12 months before the event giving rise to the claim, or (b) USD 50 (or the equivalent in your local currency).

Nothing in these Terms excludes or limits liability that cannot be excluded or limited by law, such as liability for death or personal injury caused by negligence, for fraud, or your statutory rights as a consumer.

20. Indemnity

To the extent permitted by law, you agree to indemnify us against claims, losses and expenses (including reasonable legal fees) arising from Your Content, your misuse of the Service, or your breach of these Terms. This section does not apply to consumers where such indemnities are not permitted.

21. Governing law and disputes

These Terms are governed by the laws of the country in which the operator of ExpiryVault is established, without regard to conflict-of-law rules. If you are a consumer, you also benefit from any mandatory protections of the law of the country where you live, and you may bring proceedings in the courts of that country. Before starting any formal dispute, please contact us at support@expiryvault.app so we can try to resolve the issue informally.

22. Changes to these terms

We may update these Terms from time to time. We will post the updated Terms on this page and change the "Last updated" date. If a change is material, we will notify you in the app or by email at least 14 days before it takes effect. If you continue to use the Service after changes take effect, you accept the updated Terms; if you do not agree, you can cancel your subscription and stop using the Service.

23. General

These Terms, together with the Privacy Policy, are the entire agreement between you and us about the Service. If any provision is found unenforceable, the rest remain in effect. Our failure to enforce a provision is not a waiver. You may not transfer your rights under these Terms without our consent; we may transfer ours as part of a merger, acquisition or sale of assets, with notice to you.
